Stock Administration Manager

MuleSoft's stock programs are central to our company culture. It is a key component of our total compensation offering and provides unique opportunities to reward employees in meaningful ways. The Total Rewards team oversees our global stock program to help Muleys make the most of their equity.

As the Stock Administration Manager, you will help manage the lifecycle of our stock programs, including ESPP, RSUs and performance based awards, and provide direct support to our Accounting, Legal and People Ops teams. Clear communication, accountability and an ability to master new skills very quickly are paramount to your success in this role. Key responsibilities include:

  • Process and settle all stock transactions, including option exercises and sales, RSU vestings and ESPP purchases
  • Manage our granting process from end to end and maintain records for all issued grants
  • Reconcile monthly and quarterly share plan activity
  • Work closely with global payroll and tax to report income from stock transactions
  • Act as the key point of contact with our transfer agent to ensure shares are issued and delivered in a timely manner
  • Assist with ongoing implementation of public company equity programs and policies, including upcoming ESPP open enrollment and Insider Trading compliance

Goals for your first three months:

30 days:

  • Master day to day equity processes - exercises, terminations and managing the team inbox
  • Be proficient with using the Schwab Equity Platform - loading transactions, running reports, completing basic audits

60 days:

  • Start running the monthly granting process, including building the grant list for approval, communicating to grant recipients and populating new grants into Equiview
  • Begin reconciling month and quarter end activity using Equiview and transfer agent activity reports
  • Provide admin support for 10b5-1 program and related transaction processing

90 days:

  • Manage our ESPP open enrollment process, including communications to eligible participants, tracking enrollment data and delivering reporting to global payroll teams
  • Process RSU vestings and coordinate share settlement and tax withholding payments in required locations
  • Coordinate transaction data for Section 16 reporting

The ideal candidate will have:

  • BA/BS degree or equivalent practical experience
  • CEP Level 1+
  • Creative and solution-oriented problem solver
  • Ability to flex and adapt to new situations and shifting priorities in a fast paced environment
  • Excellent analytical skills with a strong command of Excel and data management
  • Track record of process refinement and implementing successful automation where required
  • Ability to work independently, exercise judgment and proactively troubleshoot issues before they happen
  • Experience with Schwab Equiview a strong plus
